The following video explains how a company can us a marketing budget in order to track lead generation and the number of qualified leads that come from individual marketing strategies. First, the company must track marketing expenditures by month by itemizing which marketing strategies it is employing and how much the company is spending on each strategy. Second, the company must then total all these marketing expenditures in order to come up with a total monthly cost of marketing. Third, the company can then total up the expenditures across all three months in order to define the costs for the quarter. Fourth the company then totals up its revenue by month and by quarter and determines how much it spends on marketing as a percentage of that revenue. Tracking the percentage helps the company to set goals and objective that are conducive to growing revenue and keeping customers. So with the reality of a more limited budget to work with, you need to be sure you’re maximizing your budgets reach, impact, and effectiveness. But even if you’re starting from scratch, a social media marketing plan is a great place to start to ensure you’ve got your bases covered and time spent on social won’t be time wasted. Step 1) Current Analysis – Where are you now? The first step is to identify what you’re already doing, and what platforms you’re on. From here you can decide where you want to go. Do you already have a few accounts set-up? Do they have customized headers and branding? Do you have any followers or “likes”? Step 2) Competitor Analysis – Where are they now? While it’s often a good idea to lead rather than follow, it’s still prudent to be aware of what the competition is doing. Making a list of competitors and their current social media usage can indicate 1 of 2 things. Step 3) Goals – Where would you like to be? Having goals is important to prevent 3 hour marathon Facebook sessions that provides little or no value. Is your goal to increase brand awareness? Drive traffic to your website? Build social authority? Step 4) Strategy – How are we going to do this? Given the goals set in the previous step, how are you going to achieve these? A few common social media strategies include: Listening, Engaging, Influencing and Contributing. Step 5) Target Market - Who’s going to listen? Knowing the details about your target market and the key statistics around which social media platforms they tend to use can help determine what to post, where to post, when, and how. Step 6) Implementation – It’s go time! When most people think social media, they think Facebook, maybe Instagram or Twitter, and possibly Pinterest. The truth is there are a ton of other related tools available under the header of social media that may, or may not, be suitable for your needs. But here’s the good news, you don’t need to use them all! In fact, you’re probably best to select only 1 or maybe 2 to start, and focus on doing them well. Determining which ones depend on your business, goals, and of course, your target market. Step 7) Monitoring – How are we doing? As Peter Drucker said, “what gets measured, gets managed” so this is a good opportunity to look back at our goals, see how we’re doing, and most importantly, see if we’re making any progress. Which is why a key part of having a social media marketing plan is to measure your performance and see how things are actually working out. The best and easiest way to do this is with something called a KPI, or key performance indicator. KPI’s are a marketing term that allow us to really identify what’s important, and then measure that. Step 8) Budgeting – How much are we going to spend? Having a social media marketing budget is an important part of the social media marketing plan because contrary to popular belief, social media in a business context isn’t free. There are costs involved with the time to set everything up, plan, and implement, as well as advanced options like monitoring, content creation, sharing, and increasingly important, promotion. Step 9) Return on Investment – How much did we make? Calculating a quantitative return on investment with social media can be a difficult task due to its largely qualitative results. It’s challenging after all to put an exact dollar amount on improved brand perception, increased brand awareness, or the number of customers reached or impressions gained through exposure from social media. Conclusion At the end of the day a good social media marketing plan is well worth the investment. Understanding how to set your child care marketing budget is critical. Many owners & directors want to base spending on a percentage of their total tuition revenue, but there is a much more strategic way to look at how much to spend on your marketing budget. This article illustrates the way I teach my child care marketing clients to determine what they should spend... and why. The first consideration to determine your marketing budget is: What is your Lifetime Customer Value, or LCV? For most childcare programs, the average lifetime value of a family ranges between $20-35,000. This is an extremely high LCV compared with most other service businesses, because generally families will stay with you for a long time and bring multiple siblings into your program. The LCV is much higher in childcare than in other businesses, such as restaurants or dry cleaners—even pediatricians and orthodontists. Since your business has such a high level LCV, you can afford to spend a little bit more to get a customer, and that's a good position to be in. Let's look at the method of determining LCV. The steps used to calculate your center's LCV, or average lifetime customer value, are easy to follow: • Step One: Calculate your average annual revenue per family. For example, if your annual revenue for the past 12 months was $600,000, and you had an average of 60 families on your roster, your average ANNUAL revenue per family would be $10,000. • Step Two: Estimate how long an average family is enrolled in your center. You can do this by looking at the historical rosters of your program. Let's imagine your average length of enrollment is 2.5 years. • Step Three: Multiply your annual average revenue from Step One ($10,000) times your average length of enrollment (2.5 years). In this example, your average lifetime customer value (LCV) is $25,000. Doing some hypothetical calculations, if your LCV is $25,000, and you are running a 20% profit margin, the net LCV of that family to your business is $5,000. How much could you afford to spend on marketing to acquire the family? I think you could spend 10-20% of that net value, or $500-$1000. The next consideration is how full you are. What is your capacity relative to your current enrollment? If you are only 50% full—or even 80% full—being aggressive to get your numbers up will make a huge impact on your business. Most of the profit in a childcare center lives between 80% and 100% of full capacity, because there are fixed costs, as you know, no matter how low enrollment may be. So, consider your capacity, how fast you want to grow and also look at your competitive environment. Are you located in a really competitive landscape—an area where there are too many childcare centers for the number of families? If so, then you have to spend more to get each new customer. The competitive advantage boils down to this: Who will effectively market and spend enough to go get the family as a customer? The childcare center that spends enough marketing dollars to win the customer is the one that wins the game and grows the fastest. Promotions are an important part of your marketing and advertising plan. When you make promotional offers, you can afford to give away freebies, such as: one month free, the first week free, $1000 off, three weeks free and even two months free. There are all kinds of aggressive giveaways to consider. How aggressive do you want to be, knowing that it may be well worth investing to fill your enrollment? Remember that the 'sweet spot' in profits is the upper 15-20% of full capacity, and 60-70% of families will stay with you even after the period of free promotions is over. Sometimes it is worth aggressively spending on marketing to get into the range of the purely profitable 'sweet spot': full enrollment. Figure out how many families you need to be 95% full. Do you lack 20 families? If you are going to spend $500 per family, your marketing budget is $10,000. You could divide that budget by quarters or invest more of it during this Back-to-School season of enrollment to get really full really fast and hit your enrollment 'sweet spot'. This is a totally different approach than most childcare businesses—or any businesses—think about marketing. Calculating your budget with these strategic considerations in mind will be well worth it to fill your program. Take these few simple steps to heart and help your profits stay 'sweet'! We start by creating our first Ad Set with the first Audience we created targeting Instagram demographics, behaviors, and interests. There are so many options in terms of targeting. In addition to controlling budgeting and targeting, you can set your Instagram ad placements at the ad set level. We are going to be running Instagram ads in the newsfeed section and the stories section. When you are setting up Instagram Ads, you can use Carousel ads, image ads, video ads, and more.
